Privacy Policy

Last updated October 18, 2026

1. Scope

DutySync is powered by Digital Footprint Agency and supports agency fleet inspections and property accountability. This policy describes information handled through the service. Your agency controls the records it submits and may have its own privacy and records-management policies.

2. Information handled

The service handles account email addresses, names, badge numbers, roles, invitation and login history; vehicle and equipment records; assignments, inspections, checklists, notes and reported issues; uploaded photos, agency badges, documents and video; and audit and custody history. Technical information such as browser details may be recorded with login activity.

3. How information is used

Information is used to provide account access, maintain agency records, display alerts, generate reports, support agencies, and preserve accountability and security history. Do not upload information outside your agency’s approved use of the service, including sensitive investigative or criminal-justice information unless separately authorized under an appropriate agreement.

4. Access and service providers

Agency access is limited by account permissions and agency membership. Authorized Digital Footprint Agency system administrators can access agency records for administration, support and guidance; platform access and management actions are logged. Hosting, authentication and storage providers process information to operate the service. Information may also be disclosed when required by law or an applicable agency agreement.

5. Storage and security

DutySync uses hosted account authentication, agency-scoped access controls and private media storage. Browser storage is used to maintain sign-in sessions and certain interface preferences. No system can guarantee absolute security. Agencies remain responsible for account administration, approved data use and safeguarding downloaded reports.

6. Retention and requests

Record retention, deletion, export, legal hold and recovery requirements should be established in the agency’s service agreement and applicable records policy. Historical audit, inspection, login and custody records are protected from ordinary deletion. Disabling an account does not delete its historical identity or records. Contact your agency administrator for access, correction or deletion requests; the administrator can coordinate with Digital Footprint Agency through the established support relationship.

7. Updates

This policy may be updated from time to time to reflect changes in the service, provider arrangements or applicable law. Material changes will be reflected in the updated policy posted here. Questions about this policy can be raised with your agency administrator, who can coordinate with Digital Footprint Agency through the established support relationship.
